Payments Reports

Payment Activity

The Payment Activity report contains information about every payment you’ve requested. On the summary page you can see the payment’s status (paid, not paid, refunded, canceled), location, invoice number, amount paid, and the customer’s contact info. 

To get more details about a specific payment, you can use a contact’s name to search for a specific payment request or use the date and location filter to find a request.pReports1.png

By default the report shows the last 12 months of payments. To change the locations and dates that are displayed, see “The Dashboard.” To download the report to a CSV file, see “Exporting Payment Reports.”

You can click a specific payment to see additional info:

  • A timeline that shows when a payment request was sent, when a customer clicked the payment link, when a customer made a payment, any refunds that have been issued, and when payment funds were deposited in your company’s bank account.
  • A description of what was purchased.
  • Payment details, including the payment method, fees applied to a payment request, and the net amount credited to your company’s bank account.

Outstanding Balances

The Outstanding Balances report contains information about all of your recurring payments. This report includes details like invoice number, number of scheduled payments, total payment amount, most recent activity, and if Auto-Pay is turned on or not.

You can locate a specific recurring payment by searching for a customer by name or use the location, status (sent, refunded, canceled, expired, unsuccessful, successful), and date filter to locate a payment. Payments are also grouped into one of three categories:

  • Payment Plans have a set number of scheduled payments and one or more of those payments still needs to be paid.
  • Ongoing Payments are scheduled payments that go on until either the subscription time period runs out or the customer cancels.
  • Completed/Canceled are payments that the entire outstanding balance has been paid in full or the payments have been canceled.

You can click a recurring payment to see all past payments. For more details on a specific past payment, simply click the payment.pReports4.png 

Bank Transactions

The Bank Transactions report helps you monitor funds that are deposited into your bank account. This report includes details like date deposited, bank account, fees, and the net amount deposited. With this information you can keep your accounting records up-to-date.pReports5.png

You can click a specific bank deposit to see additional details such as gross amount and a list of all the transactions that make up the deposit.pReports6.png

Attention: By default, fees are deducted from the total amount of payments you’ve collected. The net amount, which is the total payments collected minus fees, is then deposited after 48 hours. Optionally, you can pay fees on a monthly basis

Amount Processed

The Amount Processed report shows the total amount of payments youre owed compared to the total amount you’ve been paid. You can also see the total amount paid to date for the current month and for the past 12 months.

Number of Requests Sent & Paid

The Number of Requests report shows the number of payment requests you’ve sent versus the number of requests that have been paid. You can also see the number of requests paid to date for the current month and for the past 12 months.pReports8.png

Time to Payment

The Time to Payment report tracks the median time (in minutes) that it takes for a customer to make a payment. The timer starts the minute a payment request is sent to a customer. 

Attention: The median time is used instead of an average to prevent the impact that an outlier might have on your data.pReports9.png
